Scaling an Airtable Commission System for a Growing Sales Network
Challenge
An internal Airtable build proved the model, then needed to scale.
Olpe sells through a network of independent consultants and managers, each with their own commission structure, team relationships, and eligibility rules for when a sale is finalized and ready to pay out. Commissions were originally calculated by hand, which took hours and left room for mistakes.
Olpe built a first version of the system in Airtable in-house, and it worked: it validated the commission model and the business logic behind it. As the sales network grew, that first version needed a more robust architecture, one that could run cheaply, but was built properly enough to keep working as the network scaled from dozens of consultants toward hundreds.
Solution
Four changes that turned a self-built prototype into a system built to scale.
One senior low-code engineer took on the professionalization and re-architecture, delivering it in 50 hours total. What we built:
- Rebuilt the data model to match how the business actually works. We refined how orders, commission lines, and monthly reports relate to each other in Airtable, building a data model that matches Olpe's real commission workflow and scales cleanly as the network grows.
- Automated the entire commission lifecycle natively in Airtable. The system now automatically handles different commission rules, team structures, eligibility periods, and payout scenarios, moving each sale from entry to a finalized, locked payout record without manual tracking. Every payout is saved as an unchangeable snapshot, so historical figures stay accurate even as the system evolves.
- Added a lightweight portal for the internal team, not the sales network. Consultants and managers don't need write access to their records, but a few internal roles, like the accountant, do. Rather than pay for Airtable write-access seats as that internal team grows, we built a custom interface on Zite that connects directly to the Airtable base.
- Integrated with Olpe's existing sales platform. The commission engine receives order data straight from the platform Olpe already uses to sell its products, so no one re-keys order information by hand.

In just fifty hours, Implex professionalized Olpe's commission system into one it can rely on now and grow into later:

- Growing into a full sales platform: the partnership has continued since March 2026, now expanding the commission engine into a broader sales management platform, with multi-level sales structures, targets and performance tracking, management dashboards, and dedicated interfaces for salespeople.
